2. Understand the current issues
It’s important to first understand the situation we are facing with the Islands at Doral Master Association, including the ongoing conflicts and concerns that impact our community. You can use the volunteer toolkit in this section which contains key information, talking points, and documents to help you stay informed and confidently explain the issues to your neighbors.
3. Inform your neighbors
Before collecting any proxies, take time to speak with your neighbors. Share the facts, explain the challenges, and answer any questions they might have. Building trust and clarity is essential for effective community action.
5. Collect proxies respectfully
With support from the team, begin collecting proxies in your area. Focus on being respectful, transparent, and helpful—our strength is in our unity and neighbor-to-neighbor communication.
6. Attend volunteer Meetings
Make sure to attend our volunteer meetings. These gatherings are essential for sharing updates, new information, action plans, and additional resources. They also give us a space to track our progress and stay aligned as a team. Staying connected through these meetings is vital to working effectively and supporting one another.
7. Stay connected
You’ll receive regular updates about campaign progress, upcoming meetings, and shared volunteer goals to keep our efforts aligned.
To effectively name a new board of directors for our association, we'll need to follow some key steps within the rules and processes established by Florida HOA regulations. Here’s a roadmap:
1. Organize and mobilize the community
Spread awareness: share critical information about the board’s mismanagement with as many homeowners as possible to urge support for change. Use community chats, emails, flyers, and local meetings to ensure everyone is informed and ready to act.
Volunteer network: build a solid team of volunteers to gather proxies and communicate with homeowners. This group should represent all subdivisions within the community to maximize reach.
2. Collect proxies for quorum
Quorum requirements: Florida law requires a specific percentage of homeowners (often 30%) to submit proxies to call an election. For a community of approximately 3,000 homes, that means at least 1,000 proxies.
Accuracy matters: ensure proxies are filled out completely and signed by every homeowner listed on the deed to avoid invalidation. Double-check all entries and signatures.
Door-to-door effort: volunteers should collect proxies by visiting homeowners directly, answering questions, and emphasizing the importance of participation.
3. Call for elections
Election announcement: the current board is responsible for announcing elections and distributing proxies. Push for transparency and timeliness in this process by holding them accountable through consistent emails, phone calls, and legal requests if necessary.
Monitor the process: if you can attend the election meeting, please do so. Your presence will reinforce the demand for change and ensure the election process is conducted fairly.
5. Ensure a strong turnout
Vote with proxies: encourage homeowners who cannot attend the election meeting to sign and submit their proxies in advance. A higher voter turnout strengthens your position and eliminates excuses for delaying change.
Coordinate attendance: for homeowners attending the meeting in person, ensure they have proper documentation and are prepared to cast their votes.
6. Post-election accountability
Transition of power: once a new board is elected, ensure the outgoing board provides all necessary documentation, including financial records and vendor contracts.
Audits: conduct forensic audits of the association's finances to uncover any irregularities and pursue appropriate legal action if necessary.
Communication channels: create formal communication channels to keep homeowners informed of progress and decisions made by the new board.
